Time Highlights and Work Schedules

Time Highlights

This custom 24Planning object allows to highlight a particular timeframe on the planning board. Examples are maintenance blocks, special holidays, etc. Important to know is that this is only a highlight but still allows you to plan Events during this time period. In case you want to avoid that Events are scheduled during this period, you should make use of Work Schedule Lines.

  • Name : Name of the time highlight. This name will be shown in the highlighted section on the planning board.

  • Time Highlight Preset: Link to a Time Highlight Preset. The Time Highlight Preset can contain multiple Time Highlights and can be linked to a dataset.

  • Start : The start date/time of this highlight.

  • End: The end date/time of this highlight.

Time Highlight Preset

Via the custom 24Planning object Time Highlight Preset, you can add multiple Time Highlights to one or more datasets.

  • Name : The name of the time highlight preset. This will be used as a reference to link it to one or more datasets.

Work Schedule

A work schedule consists of one or more work schedule lines. It can be linked to one or more resources (defined in the datasource).

In order to use a work schedule, you need to make sure that:

  • There is a lookup relationship between the resource for which you have created a work schedule (e.g. Employee or Team) and the work schedule object. You can create a lookup relationship to work schedule on any object in your org.

  • The work schedule is linked to the datasource resource. Fill in the lookup relationship field in Resource Work Schedule Reference in the datasource configuration. In the example below, we configured the Work Schedule reference in the datasource configuration.

  • Finally, on the resource itself, you also need to configure the Work Schedule. E.g. in the example below, the Employee is the resource where we configured the employee_work_schedule.

In the Work Schedule, you mark unspecified time slots as either working or non-working time, so:

  • Mark unspecified as non-working time and define Work Schedule Lines (see below) as working time, or

  • Mark unspecified as working time and define Work Schedule Lines (see below) as non-working time.

Work Schedule Line

A work schedule line is the definition of a work schedule. A work schedule can be a recurrent or non-recurrent and working or non-working time.

  • Work Schedule: Link to the Work Schedule. A work schedule can have one or more Work Schedule Lines.

  • Is Working: Enabled: the work schedule line is working time. Disabled: the work schedule line is non working time (e.g. fixed recurring holiday or time off).

  • Is Recurrent: Enabled: the work schedule line is recurrent.

  • Start Date: Applicable if the work schedule line is not recurrent.

  • End Date: Applicable if the work schedule line is not recurrent.

Within one Work Schedule, all Work Schedule Lines need to be of the same type, either Working or Non-Working. You cannot mix both within the same Work Schedule.

As an example: if you have a 5-day work week with working hours 09.00 am - 5.00 pm, Monday to Friday, you can define 5 Work Schedule Lines, as in the screenshot below:

Work Schedules and Events

When you define an Event in Salesforce that is in non-working time according the work schedule, the Event will be greyed out in the Planning Board. On the Planning Board itself, you will not be able to drag-and-drop Events outside of the working time as defined in the work schedule.
